Application Process
Overview
The Study Abroad Application process is simple and straightforward. Every step of the application process is administered through the Baruch Study Abroad Office. We have prepared this overview of the application process for your convenience. Please read it carefully, and follow the instructions contained in it. You might also want to read or review Things you need to know about Studying Abroad. We have provided links to detailed descriptions of the procedures, should you wish to consult them. Please be sure to visit the Study Abroad Office early and often during the application process, as this will help ensure that you meet all deadlines and fulfill all requirements.
- You should begin the study abroad application process by coming for your Study Abroad First Step Advising Meeting (SAFSAM for short) with the Study Abroad Director or a Study Abroad Adviser. Please allow at least 20 minutes for this meeting, and come during walk-in office hours. All other meetings are by appointment only. Please call the Weissman Center for International Business (646 312-2070) if you need to make an appointment.
- Depending on how advanced your plans are for studying abroad, at the end of your SAFSAM you may be given a Baruch Application to Study Abroad, and any additional application materials you require. Please note that all Applications to Study Abroad must be made through the Baruch Study Abroad Office. You must pick up the Baruch Application to Study Abroad in the Study Abroad Office. In addition to your Application to Study Abroad, which grants you permission to study abroad, you will also need to submit all application materials to the sponsor of the study abroad program to which you are applying. Most students wishing to study abroad will therefore have to prepare submit two separate applications: (1) the Application to Study Abroad; and (2) the application to the study abroad program or host university. Please note: You may use any materials, such as the statement of purpose or faculty recommendation, that are required for your program application for your Baruch College Application to Study Abroad. You need not ask your referee for two letters; have your professor simply make a copy of her/his letter of reference and send it to the Study Abroad Director.
- Even before speaking with a Study Abroad Adviser, you should begin gathering materials about the program(s) you are considering and determine the country and program that you believe best suits your academic and cultural learning goals. During your SAFSAM, you may use the Study Abroad Office Resource Library, and look at programs on the internet.
- If you do not already possess one, you should obtain a passport. Contact the consular services section of the country in which you wish to study to determine that country's visa requirements for visiting students. (See the information on Passports and Visas ) and begin collecting whatever travel documents are necessary for you to obtain your visa.
- Consult with the Center for Advisement and Orientation (V.C. 5th Floor, Room 215). They will be able to discuss with you your progress towards your degree, which will in turn help you identify the kinds of courses most appropriate to take while studying abroad. You should pay particular attention to any special requirements on transfer credit or for coursework taken in your major or minor field(s).
- If you receive financial aid, please contact the Office of Financial Aid Services early. The Financial Aid Office can help you prepare a budget, and determine the kinds of aid that are available for study abroad. (See Financing your Study Abroad)
- Once you have chosen your study abroad program, you should select courses at the host institution you wish to take while abroad and identify the courses at Baruch that are equivalent in level and content to those courses. For all courses you wish to take abroad, you must submit course syllabi or detailed course descriptions and other course information that is available, such as course title, the number of hours the class meets, whether or not there are laboratory hours, the texts used, the way your academic performance will be assessed, etc. This information will form the basis of the Course Equivalency Approval Requests we submit to department chairs on your behalf. We have prepared a Course Equivalency Approval Request Worksheet (in your Application to Study Abroad packet) to guide you through this process.
- If you are planning to attend an institution abroad that does not publish information on courses prior to the beginning of the term, you will be unable to submit Course Equivalency Approval Requests prior to departure. In this case, you are required to apply for a Conditional ("Blanket") Study Abroad Permit. Please make certain that you follow all instructions pertaining to the Conditional Study Abroad Permit. You are bound by the regulations on that form even if you neglect to sign it.
- After identifying these courses and their Baruch equivalencies, submit your completed Application to Study Abroad (which includes the Worksheet and all materials related to course selection) to the Study Abroad Office. Please make certain that someone in the Study Abroad Office reviews your Application to Study Abroad to make certain that it is complete. You are NOT required to have the faculty letter of recommendation before you submit your application.
- Upon receipt of your Application to Study Abroad, the Study Abroad Office will prepare Course Equivalency Approval Requests (CEARs for short) on your behalf for the courses you wish to take abroad. These CEARs will then be sent to the appropriate department for approval. The Study Abroad Office will keep you informed about the status of course equivalency requests, and will notify you via e-mail if you need to choose new courses and equivalencies.
- Once all requested course equivalencies have been approved and returned to the Study Abroad Office, or you have completed a Conditional ("Blanket") Permit Form, you become eligible to apply for a Study Abroad Permit.
- Study Abroad Permits for all programs during the fall and spring semesters, and for all CUNY programs during the Winter Intersession and Summer Sessions, require you to settle all outstanding balances on your account with the College in advance. If you plan to attend a program in one of these categories, the Study Abroad Office will obtain from the Registrar's Office a bill reflecting the appropriate charges for the term you plan to study abroad. The charges you will be assessed depend on the type of study abroad program you have selected. You will be notified via e-mail by the Study Abroad Office when you should collect your bill from our office. You should pay any charges indicated, have the receipt validated by the Baruch College Bursar's Office, and return this validated bill receipt to the Study Abroad Office.
- Baruch students who attend the Spanish Language and Civilization program in Salamanca, or who directly enroll with non-CUNY study abroad providers for the Winter Intersession or Summer Session, are NOT required to have a bill validated in order to receive a Study Abroad Permit. Please consult with the Study Abroad Office if you have any questions about this policy.
- Once the Study Abroad Office has received your validated bill, and you have satisfied any remaining application requirements, the Study Abroad Office will prepare your Study Abroad Permit Application, and submit it, along with your approved CEARs and a Study Abroad Permit Application, to the Registrar's Office on your behalf. If you have fulfilled all requirements, the Registrar's Office will issue you a Study Abroad Permit. This Permit allows you to maintain your enrollment status at Baruch while studying abroad, and ensures that you will earn Baruch credit for all approved courses completed abroad. We will keep you informed via e-mail throughout the entire process, and also when your Study Abroad Permit is ready. This Permit must be picked up in the Study Abroad Office and should be kept in your records.
- Students who study on programs sponsored by CUNY colleges
(except for the Baruch Salamanca program) are required to file an
e-permit prior to departure. However, you must still complete all
paperwork for your Baruch Study Abroad Permit before submitting an
e-permit request. The Baruch Study Abroad Office will inform you by
e-mail when you should file your e-permit. Please do not attempt to
file it before you hear from the Study Abroad Office, for if you do, it
will only be rejected and delay the completion of your Study Abroad
Permit. For detailed instructions on how to file your e-permit for study abroad, please read the section below, "Submitting an Electronic Permit."
You may also be required to attend a pre-departure orientation session, sponsored by the Baruch Study Abroad Office. We will notify you via e-mail of the dates of the orientation session.

SUBMITTING AN ELECTRONIC PERMIT
If
you are studying abroad on a study abroad program sponsored by a CUNY College, and
you will be paying (or will have paid on your behalf) CUNY tuition for that
program, you are required to file an electronic permit (e-permit) in order to
be registered at the sponsoring institution. The following CUNY Colleges
sponsor the programs most frequently attended by Baruch students: Borough of
Manhattan Community College, Brooklyn College, City College, the College of
Staten Island, Hunter College, Lehman College, and Queens College.
If you are studying on the Salamanca Program, on a Baruch or CUNY-exchange program, on a study abroad program sponsored by any non-CUNY college or university (such as SUNY Brockport, the Center for Education Abroad at Arcadia University, etc.), or are directly enrolling in a foreign university as a visiting student, you do NOT need to file an e-permit. Please consult with the Study Abroad Office at Baruch if you are unsure whether you need to file an e-permit or not.
For those who are unfamiliar with the system, electronic permits allow students from one CUNY college to apply online to take a course or courses at another CUNY senior college. The procedure for filing an e-permit for study abroad is essentially the same as filing one for any other course at another CUNY college, but there are some variations that you need to observe. The principal difference is that you will be registering for study abroad CREDIT, not specific courses, at the host (sponsoring) college.
To be eligible for a study abroad e-permit, you must be cleared both academically and financially to study abroad. What this means is that Baruch College course equivalencies have been approved for any course(s) you plan to take abroad (or you have filed a Conditional Permit form with the Study Abroad Office), and that you have paid any tuition bill to the Baruch College Bursars’ Office for the course(s) you will be taking abroad. If you have not yet received notification from the Study Abroad Office to pick up and pay your bill, please contact us immediately, because you will not be cleared to apply for an e-permit until your bill is paid. Once you have been cleared academically and financially, you will be issued a Study Abroad Permit by the Baruch Registrar’s Office. You should submit your study abroad e-permit only after you have received notification from the Study Abroad Office to pick up your Study Abroad Permit.
The following instructions, which are addressed only to students who are studying on a CUNY-sponsored study abroad program, are designed to assist you in filing the e-permit. Please read and follow them carefully.
1. You can access the e-permit web page by going to the Registrar's Office homepage and clicking on “ePermit for CUNY students: http://epermit.cuny.edu” under “Important Links,” or directly at https://epermit.cuny.edu/permitdb/cunypermit.nsf/homepage.
2. On the e-permit homepage, login with your CUNY portal ID and PIN. This should take you to the e-permit welcome page.
3. Please read the instructions on the e-permit welcome page carefully. Then click on “Create New Permit,” located in the sidebar on the left hand side of your screen. If you receive an error message at this stage please follow the instructions given below.
4. Complete all the information requested in the boxes. The “semester” you will be registering for is the term you will be studying abroad. Make sure you choose the correct Host College, which is the CUNY college sponsoring your study abroad program. Please note that under item “I. Academic Approval,” you should complete item B, NOT item A. Choose the category that describes your status (for example “Study Abroad-Regular Matriculated”). You do not need to complete the box “Select Degree Requirement Category.”
5. Click on the button “Select Host College Course”
6. Click on the link “Undergraduate Courses”
7. Click on the link “Study Abroad”
8. Click on the link that applies to you (e.g. “STABD –3 -Study Abroad (3.0 credits)” if you are applying for 3 credits on a January Intersession or Summer Session study abroad program, or “STABD –12 -Study Abroad (12.0 credits)” if you are registering for a semester study abroad program. Please note: you should register for 12 credits for a semester study abroad program, even if you plan to take more than 12 credits while studying abroad).
9. The designation “STABD-X” should appear under “Prefix Number,” where “X” stands for the number of credits you will be registering for. In the “Title” window the words “Study Abroad” should appear, and under “Crs.” the number of credits should be listed.
10. Click on the button “Select Home Equivalent Course”
11. Click on the link “Study Abroad”
12. Choose the value that applies to you (e.g. “STABD –3 -Study Abroad (3.0 credits)” if you are applying for 3 credits on a January Intersession or Summer Session study abroad program, or “STABD –12 -Study Abroad (12.0 credits)” if you are registering for a semester study abroad program.)
13. The value you selected should appear under “Prefix Number,” indicating that you will be registering for that number of credits. In the “Title” window the words “Study Abroad” should appear, and under “Crs.” the number of credits should be listed.
14. In the “Student Message to Permit Reviewers” box, please type information about the program you are attending, for example “CSI Program at Lorenzo de’ Medici in Florence”
15. Click the “Submit for Approval” button
If
all the information you provided is accurate and corresponds with the records
of the Registrar's and Study Abroad Offices, your request for an e-permit
should be processed quickly. If your request is sent back for clarification,
please contact the Study Abroad Office immediately.
Once you receive confirmation that your e-permit has been approved, please print out a copy of this confirmation, and bring it to the Study Abroad Office. Then you may pick up your Baruch Study Abroad Permit.
Please note the following item, taken from the FAQ section of the Registrar's Office website:
What should I do if I try to file for the e-permit request and get the following message “YOU DO NOT HAVE ANY ACTIVE SEMESTERS AT YOUR HOME SCHOOL?”
Log in to CUNY Portal at www.cuny.edu. Click on “My Profile” and make sure the primary college selection is Baruch College. If you still get this error message, contact the Registrar's Office.
